KFM Microsoft 365 Terms of Use

Applies To: All employees, contractors, and authorized users of KFM Microsoft 365 services.

1. Purpose

These Terms of Use govern the acceptable and responsible use of Microsoft 365 services (including Outlook, Teams, SharePoint, OneDrive, and other related apps) provided by KFM (“the Company”) for business purposes.

2. User Responsibilities

By accessing Microsoft 365 through your KFM-provided account, you agree to:

  • Use Microsoft 365 solely for business-related activities.
  • Maintain the confidentiality of your login credentials.
  • Immediately report any suspected unauthorized access or data breach.
  • Store sensitive company or client data only in approved and encrypted locations (e.g., OneDrive, SharePoint with DLP policies enabled).
  • Use company email (Outlook) in a professional manner, refraining from sending discriminatory, harassing, or inappropriate content.

3. Acceptable Use

You may not use Microsoft 365 to:

  • Transmit or store content that violates any laws or regulations.
  • Share or expose confidential or proprietary company data to unauthorized parties.
  • Install unapproved third-party add-ins or applications.
  • Circumvent security policies such as MFA, email filtering, or DLP rules.
  • Engage in activities that compromise system performance or security.

4. Monitoring and Privacy

KFM reserves the right to monitor, access, audit, or review any content or activity within Microsoft 365 for compliance, security, or operational needs. Users should have no expectation of privacy for data transmitted or stored using KFM resources.

5. Data Ownership and Retention

All data, files, emails, and communications created or stored in Microsoft 365 under a KFM account are the property of KFM. Upon termination of employment or contract, access will be revoked, and content may be retained or deleted per company policy.

6. Violations and Disciplinary Action

Violation of these terms may result in:

  • Temporary or permanent suspension of Microsoft 365 access.
  • Disciplinary action, up to and including termination.
  • Legal action if applicable.

7. Modifications

KFM reserves the right to update or modify these Terms of Use at any time. Continued use of Microsoft 365 services implies acceptance of any such changes.

8. Acknowledgment

By using KFM’s Microsoft 365 services, you acknowledge that you have read, understood, and agreed to comply with these Terms of Use.
